Privacy Policy
This policy explains how FP Digital handles information through the FP Digital Portal at fpdigitalteam.com. The portal is intended for invited employees and team members.
Information the portal handles
- Account and profile information: account email and sign-in information, plus profile details such as display name, department, role, and avatar.
- Workspace information: content users add to projects, tasks, calendar items, chat rooms and messages, reactions, shared files, and documents.
- Browser-stored information: some preferences and workspace values are saved in browser storage. Task and calendar entries and display preferences may remain on that browser until its site data is cleared.
- Optional Gmail information: if a user chooses to connect Gmail, the portal can access the connected address, message metadata and content, and drafts needed to display and manage the selected mailbox.
Gmail access and Google user data
Gmail is optional. The portal requests Google permission only after the user selects the Gmail connection flow and approves Google's consent screen. The portal uses the Gmail API to display and search messages and drafts, and to perform actions requested by the user, including sending messages, archiving messages, and changing read status.
The inspected Gmail integration calls Google's API directly from the user's browser. Its short-lived Google access token is held in JavaScript memory and is not saved to browser storage or sent to FP Digital's server. The portal does not intentionally store Gmail message content on its servers. A limited list of Gmail message IDs used to track messages already seen is stored in the browser. Gmail content remains in the user's Google account; the portal displays it only while the user's connected session is active.
FP Digital does not sell Google user data, use it for advertising, or use it to train generalized AI or machine-learning models. Google user data is used only to provide the mail features the user requests. The portal does not request Gmail access until the user chooses to connect. Users can stop using the connection by signing out or revoke the portal's access in their Google Account security settings.
How workspace information is used
Workspace information is used to authenticate users, display profiles and collaboration features, store and retrieve documents and chat attachments, operate the portal, and protect the service. The portal uses Supabase for account and workspace data and storage, and Netlify for site hosting and serverless functions. Google receives data when users choose Google sign-in or Gmail features. LiveKit may process connection and audio/video session information when voice features are used. YouTube or GIPHY may receive searches or playback requests when those optional features are used.
Gmail message content and the Google access token are handled by the browser-to-Google connection described above; the portal's inspected Gmail code does not send them to Supabase or Netlify. Infrastructure providers may process technical requests and operational logs needed to run and secure the service.
Storage and retention
Gmail message content and access tokens are not intentionally stored by the portal. The browser's limited Gmail message-ID list and local preferences remain until cleared from browser site data. Workspace records and uploaded files are kept in the configured workspace services while needed to provide the portal and until deleted by an authorized user or administrator. Provider backups and technical logs may remain for the periods set by the applicable service provider.
To ask about, correct, or request deletion of account or workspace information, contact info@fpdigitalteam.com. Some information may need to be retained to operate the workspace or meet legal obligations.
Security
The public portal is served over HTTPS. Google access tokens for Gmail are kept in browser memory and are not persisted by the inspected integration. Users should protect their account credentials and use the portal only from devices they trust. No online service can guarantee absolute security.
Children
The portal is designed for invited employees and professional team members, not for children.
Changes and contact
We may update this policy when the portal or its data practices change. The date above identifies the latest revision. For privacy questions, contact info@fpdigitalteam.com.
